Privacy statement

Your privacy is very important and we take steps to protect it.

Please read on if you want to know how your data and information will be used.

​What information do we obtain?

We only request information that is relevant to 

  • Respond to an enquiry that you have made0

  • Support your attendance to, or participation in, a training or CPD event.

Generally, information will include your name, telephone number and/or email address.  

Where relevant, we may ask for potentially sensitive information so that we may support you in the learning environment. 

We may also request information such as an In Case of Emergency contact and your Clinical Supervisor so that we can help to safeguard you if it is felt necessary to do so.

How we obtain information about you.

You may give us information about you by filling in forms on the Training for Counsellors Ltd website enquiry page, phone, email, text, or because you have joined our mailing list.  

​

We may ask further information from you to further an application to join a training course. This may be requested verbally, by email from a @training-for-counsellors email or via Teams.

​

Where your initial contact is made via a website or a directory, we may receive some technical information, for example an IP (internet protocol) address. Any services that we use are checked for GDPR compliance.

​

Information gained through experiential engagement in the course.

It is the nature of the course that you will make personal disclosures that may assist other people to identify you. 

​

  • A confidentiality agreement is in place for each individual event.

  • Information from these disclosures will only be shared if it will help to prevent an imminent risk to your health and wellbeing. The information will be shared only with relevant persons. 

​

Tutorials may be another source of information where you would appreciate privacy and confidentiality to be upheld. 

​

  • Where possible, these conversations will be recorded for shared access by the tutorial participants.

  • The information will not be shared beyond these boundaries without prior consultation.

Where is information stored?

  • Electronic locations: Microsoft Teams, Gmail accounts, Wix (website) database.

  • On the Contacts directory of my mobile phone

  • On electronic Banking/Accounts Records.
     

Who are the data handlers at Training for Counsellors Ltd.?

  • Samantha Crapnell (Director) has access to all information and is the person primarily responsible for the management of data.

  • Zoe Topping (Administrator) 

  • Andrew Crapnell (Website Manager)

  • Linsey Bailey-Rowles and Claire Hasting (Training Associates) have access to Microsoft Teams

  • Imelda Hatton-Yeo (External Verifier) has limited access to Microsoft Teams
     

How we use the information that we receive about you.

We will only use the information provided to us to carry out our work:

  • To maintain contact with you

  • To carry out our work together

  • To share relevant information that will support your qualifying or certifying 

  • In the event of a safeguarding issue.

The only other time we may be required to share information that you provide me with:

  • To contact the emergency services in the event of an accident or incident.

  • In the unusual event we are, by law, required to share information. 

  • In the event that we receive an information request signed by you for the release of your notes.

  • Should anything happen to me (Samantha Crapnell), I have a Professional Will.  The Executor of my Professional Will has written permission to access your information in an event of exceptional circumstance (e.g. my death).  My Executor is also a qualified counsellor and clinical supervisor. They abide by the same ethical standards as I do.

What we will not do with your information.

We will not share any of your information with anyone for marketing purposes.

When and how do we destroy your information?

​When our work has been completed for seven years, we will destroy any remaining information that we have kept regarding our work whether it be hard copy or electronic.
